Getting started
Who is i-RMS for?
Any business that gives material on rent by the day and takes it back in parts – scaffolding, cuplock, shuttering and centering, props and plates, mixers, cranes, tools and event equipment.
What do I need to run it?
A Windows computer or office server. The installer includes the application and its database, with Start and Stop shortcuts. You open it in a web browser.
Can several people use it at the same time?
Yes. It is installed on one computer, and others open it in a browser from PCs, tablets or phones on the same network, each with their own login.
Does it need internet?
No, not for daily work. Internet is needed only for email features: overdue reminders and password reset.
How long does set-up take?
Installation and company set-up can be done in a day. Loading your customers, items, rates and material currently out, and training your staff, usually takes about a week.
Can one customer have several sites?
Yes. A customer can have many sites, each with its own address, phone and email. Challans, running invoices and pending material are kept per customer and site.

Challans (OUT and IN)
How do I record material going out?
Open Challan OUT, choose the customer and site, add products with quantity and the rent date and time, add receiver and transporter if you want, and save. You can print it as A4 or A5.
Can I choose the date and time of a challan?
Yes. The rent date and time are entered on the challan, and the rent is counted from that date.
Can the same product appear twice in one challan?
No. Each product can appear only once per challan. If you need more, increase the quantity or make another challan.
Are receiver and transporter details compulsory?
No, they are optional. If you enter a phone number it must be a 10-digit number. You can also save regular receivers and transporters as contacts.
How do partial returns work?
In Challan IN you choose the customer and site and see only what is still pending. Enter the quantity returned – a part or all. The rest stays pending and keeps earning rent.
Can a customer return more than we sent?
No. The software blocks a return larger than the quantity still pending for that customer and site, and blocks a product that was never sent to that site.
If there are several OUT challans, which one does a return belong to?
A return is matched to that day’s OUT challans first, then to the oldest material. Each unit keeps the rate and start date of the OUT it left on.
Can I edit a challan?
Yes, while its invoice is still running (draft). You can change items, quantity, price, notes and even the customer or site. The challan type (OUT or IN) cannot be changed.
Can I reduce the quantity of an OUT challan after some material came back?
Not below what has already been returned. The software tells you how much is already returned.
Can I delete a challan?
Yes, while its invoice is still running. An OUT challan cannot be deleted once any of its material has been returned. Inventory is corrected automatically if you use the Inventory module.
Can I move a challan to another customer or site?
Yes, from the edit screen, as long as the material from that OUT has not been returned yet and a running invoice exists (or can be created) for the new customer and site.
Can I send an inactive product?
No. An inactive product is hidden from new OUT challans, but it stays visible with its price on old challans, invoices and reports.
Can I add a note to a challan?
Yes. You can add, view or edit a note on any challan.
Rent calculation
How is rent calculated?
Rent is calculated per item, per calendar day, for exactly the quantity that was on site. The OUT day and the IN day are both counted.
What is the same-day return rule?
Material that goes out and comes back the same day is charged a fixed 2 days, only on the returned quantity. It does not depend on the company’s minimum-days setting.
What does the minimum-days setting do then?
The company minimum rental days setting is used for running estimates, for material sent on the bill date, so an estimate never shows less than the minimum.
A customer returns part today and keeps the rest – how is that billed?
The bill is split into rows. Returned units are charged for their own days; the units still out continue until their return or until the date you choose for the estimate.
Why does a row sometimes show 1 day but charge 2?
A row can contain units returned the same day (charged 2 days) and others. The remark under the row explains how many units got the 2-day charge.
What happens if material is sent again after a return?
A re-issue starts a fresh rental from its own OUT date and is billed normally; the earlier rental is not charged twice.
Does the time of day matter?
Rent is counted in calendar days. The time is used only to put same-day challans in the right order.
Can I see an estimate before the final bill?
Yes. A running (draft) invoice shows the rent up to now, and you can pick another date to see the estimate up to that date.
Rates, customer prices and price hike
How do I give a customer a special rate?
Type the special price on a challan line. It is saved for that customer and that product, and appears automatically the next time that customer’s product is picked.
Which rate is used – the product price or the customer’s price?
If the customer has a saved special rate, that is used. Otherwise the product’s standard price in force on the OUT date is used. A price typed on a single challan line is used for that line.
How do I remove a customer’s special rate?
Clear the price for that customer and product. They go back to the standard price.
How do I raise a product’s price?
Edit the product, enter the new price and the date it should start. Challans from that date use the new rate; material already out keeps its old rate.
How far from today can I date a price change?
Up to 31 days before or after today.
What if I date a price change in the past?
You get a clear warning. Running invoices are recalculated; generated and settled invoices do not change.
Can I cancel a wrong price change?
Yes, an Admin can cancel it with a reason. The original starting price cannot be cancelled, and the cancelled change stays in the history.
Who can change prices?
Super Admin and Admin. A Manager cannot change prices.
Where can I see old prices?
In the product’s price history: every change with its date and who made it.
Does a price hike change a customer’s special rate?
A customer’s saved special rate stays in force until you change it yourself.
Invoices
How does an invoice work?
Each customer and site has a running (draft) invoice built from its challans. When all material is back you generate the final invoice. When it is fully paid it becomes settled.
When can I generate the final invoice?
Only when nothing is pending – all material sent has been returned. If something is still out, the software tells you which products.
Does a generated invoice change later?
No. A generated invoice is frozen. A later price change or rule change does not alter it.
How do I correct a generated invoice?
A user with Admin or Manager access can revert it. Reverting a generated invoice reopens it as a running invoice by removing its latest challan (the last return), so you can enter it again correctly. This works only if there is no other running invoice for the same customer and site.
How do I reopen a settled invoice?
Reverting a settled invoice moves it back to generated and removes its most recent payment.
Can I delete an invoice?
Only a settled invoice can be deleted. Settled records for a date range can also be cleared using Delete Settled Records, protected by the master password.
Can I add transport or other charges?
Yes. An extra or other amount can be added and it is included in the invoice total.
Can I add a note on an invoice?
Yes. You can add, view or edit a note on any invoice.
What do customers see on the bill?
Item, quantity, days, rate and amount per row, plus plain remarks in Gujarati for special lines such as same-day returns and price changes.
Payments and wallet
Can a customer pay in parts?
Yes. Record each payment against the invoice with the amount, payee name and phone, and a comment. A receipt PDF is available for every payment.
Can I take an advance on a running invoice?
Yes. A payment can be recorded while the invoice is still running. Customers can also keep money in their wallet as an advance.
Can a payment be more than the bill?
Not on a generated invoice. Paid amount plus adjustment plus wallet amount cannot exceed the remaining balance. Extra money can go to the customer’s wallet.
What is a payment adjustment?
A discount or round-off entered with the payment. It counts towards clearing the invoice.
When does an invoice become settled?
Automatically, when the total of payments, adjustments and wallet amounts reaches the invoice total.
Can I edit or delete a payment?
Yes, while the invoice is running or generated. Once an invoice is settled, revert it first. A wallet amount used in a deleted payment is returned to the wallet.
How does the customer wallet work?
You can add advance deposits, allocate wallet money to an invoice while paying, refund, and make adjustments. Every movement is in the customer’s wallet history, which you can filter and export to Excel.
Can I edit a wallet deposit?
Only a deposit that has not yet been used in any allocation and has not been reversed. A used deposit cannot be edited or deleted.
Can the wallet pay more than its balance?
No. The software rejects an allocation larger than the wallet balance.
Overdue and reminders
What does the Overdue report show?
Running (draft) invoices that have been open for more than the number of days you set – long-running rentals – with customer, site, days open and the amount so far.
What is the “Unpaid invoices” count?
Invoices that have been generated but are not yet fully paid.
Are reminders sent automatically?
Yes. Once a day (11:00 by default) the software emails the invoice PDF for every generated invoice that is still unpaid after your reminder days. It needs an email address on the customer’s site and email set-up on the server.
Can I choose how many days before a reminder?
Yes. The reminder days are a setting of your company, and the same number is used for the overdue counter on the dashboard.
Can I export the overdue list?
Yes, to PDF and to Excel.
Dashboard, reports and Excel
What does the dashboard show?
Active rental invoices, unpaid (generated) invoices, overdue invoices, and pending material by product with a site-wise breakdown. You can filter by customer and site.
Which reports are there?
Product report (pending material at sites), Amount report (billed, paid, remaining), Overdue report, a payments list and wallet transactions. The Inventory module adds ledger, utilisation, low-stock, damage and adjustment reports.
Which reports can I export to Excel?
Payments, amount report, overdue list, pending products, wallet transactions and the inventory reports. Several also export to PDF.
Can I import data from Excel?
There is no self-service import screen. During onboarding we help load your customers, sites, products, rates and the material currently out.
What is the Revenue analysis?
A chart of revenue over a date range with a customer-wise breakdown, available to Super Admin and Admin.
Users and security
What roles are there?
Super Admin (manages companies), Admin (runs the company and its settings) and Manager (daily work). Admin accounts and Manager accounts are created per company.
What can a Manager not do?
A Manager cannot change or cancel prices, see revenue analysis, manage users or company settings, take database backups, adjust or edit wallet deposits, or delete settled records. Managers do the daily work: challans, invoices, payments, wallet deposits and refunds, customers, sites, products and reports.
What is the master password?
An optional extra password a company can switch on for sensitive actions, such as deleting settled records.
I forgot my password. What now?
Use “forgot password” on the login page. A new password is emailed to the address on your account.
Can the last Admin be deleted?
No. A company must keep at least one Admin, and the role of the last Admin cannot be changed.
Can I delete a user who created records?
No. A user who appears as the creator of records cannot be deleted, so the history stays complete.
How are passwords stored?
Passwords are stored in hashed form, not as plain text.
Licence, data and backup
What is the licence key?
Each company has a licence key with an expiry date that is verified by the software. A key that is missing, altered or expired stops access to that company’s data until a valid key is entered.
What happens when the licence expires?
The software shows a licence-expired message and does not open that company’s data until the licence is renewed. Your data stays safely in your database.
Where is my data stored?
In a database on your own computer or server. You own it.
How do I take a backup?
Use the one-click database backup export. We recommend a daily copy to a pen-drive or cloud drive. We help you set up the routine.
Is old data deleted automatically?
No. Records are removed only when an authorised user deletes them, for example Delete Settled Records for a date range, protected by the master password.
Can I delete a product or customer?
A product that was never used in a challan can be deleted; otherwise mark it inactive. Customers, sites and categories can be deleted from the Admin menu.
Can I move to a new computer?
Yes. Install on the new computer and restore your latest backup. We can help.
How do updates work?
A new version is installed over the old one and the database updates itself when the application starts.
Inventory module (optional)
What does the Inventory module add?
Stock per product (available, rented, damaged, in maintenance), Stock-IN, manual adjustments, damage reports, maintenance and write-off, an audit ledger, and utilisation and low-stock reports.
Will it stop me sending more than I have?
For products tracked in stock, yes. A Challan OUT larger than the available quantity is rejected with a message showing what is available and what was requested.
Can I record damaged or lost items on return?
Yes. Each return can be split into good, damaged and lost quantity. Damaged items can be sent to maintenance, and lost items are written off.
Can I set opening stock twice?
No. Opening stock can be recorded once for a product; later corrections are made with a stock adjustment.
Can I delete a product that has stock?
Not until its stock is brought to zero by a write-off or adjustment.
Is stock checked automatically?
Yes. A nightly reconciliation compares the stock ledger with the stock totals and flags any mismatch.
Language, printing and mobile
Can bills and challans be in Gujarati?
Yes. Customer and item names can be entered in Gujarati, and the explanation remarks on the bill print in Gujarati.
What print sizes are available?
A4 and A5, chosen separately for challans, invoices and payment receipts, with your logo and address.
Can I customise the bill format?
You can set your logo, address and page size. Special formats, for example a GST layout, can be discussed.
Does it work on a phone?
Yes. The web version is mobile-friendly, and challans, invoices and receipts open in a built-in PDF viewer. There is also an i-RMS mobile application.
Is there a dark mode?
Yes. The application has light and dark modes and an in-app user guide.

What does it cost?
It depends on the modules and users you need, plus a yearly support plan. See the pricing page or use the ROI calculator.
What does yearly support (AMC) include?
Help by phone or remote session, fixes, updates, backup care, refresher training and priority attention. The terms are in the support agreement.
Do you train our staff?
Yes. Training on your own data is part of onboarding, and refresher training is part of yearly support.
Do you handle GST invoices?
The standard invoice is a rental invoice. If you need a special format such as a GST layout, tell us your requirement and we will discuss it.
